Lead retrieval cost: what exhibitors pay at trade shows in 2026

How much does lead retrieval cost in 2026? Real prices from public exhibitor order forms, hidden costs, an honest cost example and a cheaper option.

The short answer: In the 2026 exhibitor order forms we read, lead retrieval costs about $300 to $700 per person for one event, either for a rented handheld scanner or for an app licence that works only at that show. Prices rise as the show gets closer. An app you own can cost less over a year.

Lead retrieval is the service that lets booth staff scan visitor badges and save the contacts as leads. Most organisers sell it to exhibitors as an add on. This guide shows what real shows charge, what the price does not include, and how to work out if a lead retrieval app that you own is cheaper for your team.

How much does lead retrieval cost in 2026?

We read public order forms and exhibitor pages from several shows in late September 2026. Every price below is what the organiser or its lead retrieval vendor published, before tax. Each row links to the source, so check it before you budget.

The IAA model is the exception. Most shows charge per person or per device. One industry article puts organiser scanner licences at £100 to £575 per device per event, with handheld rentals at the higher end (Event Tech Live). That fits what the order forms show.

Per device, per user or per team

Organisers use three pricing models. Know which one you are buying, because it decides what a bigger booth team costs.

  • Per device (rental). You collect a handheld scanner at the show and return it. You pay for each device, and often for insurance or a replacement fee. At ATD the form lists a $2,000 replacement fee for the scanner. At ASBO, damaged device insurance is $99 per device.
  • Per user (app licence). You install the organiser's app on your own phone and pay for each person. The first licence is the most expensive, and extra licences are cheaper, for example $350 then $150 at ATD.
  • Per team (one price). One price covers everyone on your booth staff. IAA does this with its €450 Team Edition. This is the best model for large teams, but it is rare in the forms we found.

Early bird versus onsite prices

Every order form we read rewards early orders. Using the published numbers, the ATD app licence rises from $350 to $400 (about 14 percent). The ASBO app rises from $299 to $359 (about 20 percent). The SEMA app rises from $455 to $605 (about 33 percent). Order lead retrieval when your exhibitor manual opens, not when you pack your bag.

Hidden costs of organiser lead retrieval

The price on the form is only part of the cost. These are the items that surprise teams:

  • It works at one event only. The SEMA form says an app activation applies to one event. Next show, next order.
  • Some leads arrive late and cost extra. The NRA Show and SEMA forms say leads from badge photos or handwritten badge IDs are available within 14 days after the event and carry a data services fee.
  • Limits on data use. The ASBO page says attendee data is for the exclusive use of the exhibiting company. You may not share or pass it on. Read this before you plan to send leads to a partner or agency.
  • Fees around the edges. ATD lists a $75 fee if you cancel by the last cancellation date. SEMA lists a $25 processing fee.
  • Export, not sync. The pages we read describe scanning, qualifying questions, notes and export. Some also offer an API for an extra fee, for example $950 at the NRA Show and $990 at ATD. Without it, you get a file and you upload it yourself.
  • No added contact data. We did not find any of these products described as adding a verified email, direct phone or company details to a badge scan. If the badge shows only a name and a company, that is what you get.

An honest cost example

Here is a simple example. The numbers are assumptions for the maths, not statistics about any company. We took ATD pricing because it is a clear published example. Your show will differ.

  • A team of 3 people staffs the booth.
  • The team exhibits at 6 events in one year.
  • Each event sells app licences at the ATD prices: first licence, then two extra licences.

When the organiser's scanner still makes sense

  • You exhibit once, or once a year, and only one person scans.
  • Your booth package already includes lead retrieval. Ask before you buy anything.
  • The organiser gives you registration data that a normal scan cannot read, and you need it.
  • A sponsor contract or the show rules require the official system.

The alternative: bring your own lead retrieval app

A lead retrieval app that you own runs on your team's phones and works at every show. You pay once per person for the year, not once per event. The same app scans event badges, paper business cards and QR codes, so you do not learn a new tool at each show. Your leads end up in one place, in your CRM, and not in a different portal for each organiser.

There are trade offs. Some badge QR codes hold only an ID number. In that case an own app reads the printed name and company instead, and enriches the contact from there. You do not get the organiser's registration record. If you need that record, ask the organiser what it costs.

Questions to ask the organiser before you order

  1. Step 1: What exactly is included?

    Ask for a list: scanner or app, custom questions, notes, portal access, export format, support.

  2. Step 2: Is it per device, per user or per team?

    Then work out the price for your real booth staff, not for one person.

  3. Step 3: When do I get the data, and what does it cost?

    Ask about badge photo leads, data services fees and how long the export takes.

  4. Step 4: What can I do with the data?

    Check the terms on sharing with partners, agencies and your CRM.
