A lead retrieval app turns a phone or tablet into a scanner for event badges, business cards and QR codes. Your booth staff scan a visitor, add a note or answer a few questions, and the contact is saved as a lead. Good apps then add missing data (email, phone, job title, company details) and send the lead to your CRM, so nobody types anything after the show.
There are two types: a rental app or device from the organiser that works only at their show, and your own lead capture app that you use at every event.
How to choose a lead capture app for trade shows
Before you look at brands, answer these questions:
- Does it work at every event? Some badges hold the full contact in the QR code, others hold only an ID. Check how the app handles both, and whether it can read the printed name and company.
- Does it scan more than badges? Paper business cards, LinkedIn QR codes and digital cards all come up at a booth.
- What data does it add? Ask which fields it fills in (email, phone, job title, company size, industry) and where the data comes from.
- How does it sync to your CRM? You want native fields and the event name, not one long note. Check that your CRM is on the native list.
- Can staff qualify leads? Look for notes, custom questions and a hot, warm or cold tag.
- Can a manager see leads during the show? A live view per person helps you act on hot leads on the same day.
- Where is the data stored? For European teams, ask about EU hosting, GDPR and a data processing agreement.
- How is it priced? Per user, per event, per company or per enriched lead. Some publish prices, others quote on a call.

1. Swopi
Swopi is an AI lead capture app from Brno in the Czech Republic. Staff scan a badge, a paper card in any language or any QR code with an iPhone or Android phone. Swopi AI then fills in the verified business email, direct phone, job title, LinkedIn profile and company data such as size, industry, revenue and VAT number, plus a buying intent score. The lead goes to your CRM in native fields with the event name. Data is hosted in the EU. Where others are stronger: Swopi is a smaller company, and US vendors have longer lists of large US customers.
2. Popl
Popl, based in New York, is one of the best known event lead capture platforms. Its badge scanner page covers event badges, paper cards and QR codes, and every plan includes enrichment, CRM and calendar integrations, SOC 2 Type 2 security and a dedicated customer success manager, according to its pricing page. Popl says it is trusted across 90% of the Fortune 500 on its home page. Prices are quoted in a meeting, with unlimited users and events. Popl is a strong choice for large B2B teams with a busy event calendar, especially in the US.
3. Cvent iCapture
Cvent bought iCapture in January 2024 (press release). The iCapture page lists badge scans with 130+ badge providers, business card photos, offline capture and lead routing into Salesforce, HubSpot, Marketo, Eloqua and Dynamics 365. For enrichment it can use your own ZoomInfo seats and credits. It fits teams that already use Cvent or ZoomInfo and want everything in that stack.
4. Cvent LeadCapture
The LeadCapture page shows it is for organisers, who offer it to their exhibitors and sponsors. If a show runs on Cvent, you may find it in the exhibitor manual. It scans badges and business cards and supports custom questions. A good option for that one show, but it does not follow you to the next event.
5. Captello
Captello, from Dallas, sells a universal lead capture app that its event lead capture page says reads badges, business cards, badge QR codes, LinkedIn QR codes and contact details on paper. It adds its own enrichment, a meeting scheduler and post-event tools. Prices are not published. It suits event marketing teams that want many event tools from one vendor.
6. snapADDY
snapADDY is based in Würzburg, Germany. Its VisitReport app scans badges and business cards, works offline and syncs to Salesforce, HubSpot and Dynamics, according to its trade show page. It is strong on detailed visit report forms and custom CRM mapping. The Direct Booker plan is listed at €348 per year for individuals and teams of up to five users, and larger companies get a quote.
7. Covve
Covve is a business card scanner with a long history in the app stores. Its pricing page lists Essential at $12 per seat per month and Pro at $20, with event badge scanning in Pro. Native CRM integrations come with Enterprise or as a $6 per user per month add-on. It fits people who mostly scan paper cards.
8. Blinq
Blinq started as a digital business card app. Its pricing page shows a free plan and a Business plan at $6.99 per user per month (minimum five cards), with a universal scanner for badges, cards, QR and LinkedIn. Lead enrichment is billed as credits on top. It fits teams that mainly want digital cards.
9. Organiser rental apps and devices
Most large shows sell their own lead retrieval. At ATD 2026 the first app licence cost $350 to $400 and each extra licence $150 to $200, with a handheld scanner at $495 to $545 (ATD order form). At the National Restaurant Association Show 2026, an app package with three users cost $579 to $599 (order form). In Europe, the Basic lead management package at EISENWARENMESSE 2026 in Cologne was EUR 299 (page). The upside: the organiser app can read badges that only carry an ID. The downside: you pay again at every show, learn a new app each time and often get a CSV file after the event.
Own app or organiser rental: which costs less?
Multiply shows per year by staff per booth by the rental price. For example, three people at ATD 2026 with the early price is $350 for the first licence plus 2 × $150, so $650 for one show.
